Service Policy

This Service Policy describes how Zonix Tech typically delivers digital and software services. It replaces a traditional shipping policy because we provide professional digital services, not physical product shipments.

Zonix Tech delivers custom software and related digital services. This policy outlines our general engagement approach. Individual projects may follow additional details set out in a proposal, statement of work, or written agreement, which prevail if there is any conflict.

1. Project engagement

Engagements usually begin when a prospective client contacts us through our website forms, email, phone, WhatsApp, chatbot, or a scheduled consultation. We review the inquiry to understand goals, constraints, and whether our services are a fit.

2. Consultation

Where helpful, we may schedule a consultation to clarify requirements, discuss technical options, and identify risks or dependencies. Consultations are intended to align expectations before commercial terms are finalized. Booking a consultation does not, by itself, create a paid project commitment.

3. Quotations

After we understand the scope, we provide a quotation or proposal covering estimated deliverables, timeline assumptions, and commercial terms. Quotes are based on the information available at the time and may change if requirements expand or change. A quotation becomes binding only when accepted in writing by both parties under the stated conditions.

4. Agreement and kickoff

Work begins once commercial terms are accepted and any required initial payment or kickoff conditions are completed. At kickoff, we typically confirm objectives, stakeholders, communication channels, and high-level milestones.

5. Development process

Depending on the engagement, delivery may include some or all of the following stages:

  • Discovery and requirements clarification
  • Design and technical planning
  • Development and implementation
  • Internal quality checks
  • Client review and feedback cycles
  • Deployment or handover of agreed deliverables

Methods and tools vary by project. We communicate progress through the channels agreed at kickoff.

6. Client responsibilities

Successful delivery depends on timely client participation. Clients are expected to:

  • Provide accurate requirements, content, credentials, and materials when requested
  • Designate a decision-maker for approvals and feedback
  • Respond to review requests within agreed timeframes
  • Ensure they have rights to materials supplied to Zonix Tech
  • Complete required payments according to the agreed schedule

Delays in client inputs or approvals may extend timelines. Significant scope changes may require an updated quote or change order.

7. Communication

8. Revisions

Reasonable revisions related to the agreed scope are part of a normal delivery process. Revision rounds, acceptance criteria, and what counts as out-of-scope change are defined in the project agreement or managed through written change requests. Requests that expand functionality, add new features, or reverse previously approved decisions may be treated as additional work and billed accordingly.

9. Delivery

Deliverables are provided digitally—for example, through staging or production environments, code repositories, documentation, design files, or other agreed handover methods. There is no physical shipping. "Delivery" means making the agreed digital outputs available as described in the engagement documents. Acceptance may follow a review period or checklist defined for the project.

10. Support and maintenance

After delivery, limited assistance may be available to address issues related to the agreed deliverables, as outlined in the project terms. Ongoing maintenance, enhancements, monitoring, or extended support are available as separate arrangements when agreed. Marketing statements about support availability describe our general service posture and do not replace specific contractual service levels unless those levels are written into your agreement.

11. Payments and cancellations

Payment schedules are set out in quotes, invoices, or contracts. Payments for digital services are handled according to our Refund Policy. Early cancellation does not automatically entitle a client to unused fees or incomplete-phase refunds.

12. Changes to this policy

We may update this Service Policy periodically. The "Last updated" date reflects the current version. Project-specific written agreements control for active engagements.
